THE BANK:

 

Established in 1964, the African Development Bank is the premier pan-African development institution, promoting economic growth and social progress across the continent. THE COMPLEX:

 

The Vice Presidency Complex (TCVP) ensures the delivery of efficient, people-centered, and client-focused services to ensure overall institutional effectiveness in all aspects of the Bank's corporate services. The Complex leads efforts to ensure the Bank's competitiveness and is responsible for providing leadership in the formulation and implementation of the Bank's strategies on information technology, corporate services and institutional procurement, language services, and business continuity.

 

THE HIRING UNIT:

 

African Development Bank has implemented an ongoing Business Continuity Management program to maintain and improve the organization's resilience to events that could disrupt its operations.

 

Due to its strategic dimension and vital nature, business continuity remains under the purview of Senior Management. The Vice President (TCVP) is responsible for overseeing the program as a whole and supporting business continuity management efforts across the Bank, including more than 36 offices across the African continent.

 

The primary role of the Business Continuity Management Unit is to ensure that the Bank is fully prepared to manage and respond to emergencies and crises, both at its headquarters and in all its field offices. The Business Continuity Management Unit ensures that the Bank has proactive measures in place for the protection and safeguarding of its staff and their family members, its critical assets (critical skills, data, documents, buildings, services and technological infrastructure), strategies, tested and operational policies, procedures, activities and IT recover continuity plans and office arrangements in advance to maintain the uninterrupted execution of the Bank's critical operations under all circumstances of business disruption, emergency and crisis events.

 

THE POSITION:

 

The Bank invites suitably qualified persons to apply for the position of Team Assistant (STS). This position is based in Abidjan, Côte d ‘Ivoire and does not attract international terms and conditions.

 

KEY FUNCTIONS:

 

Reporting to the Business Continuity Officer, the Team Assistant will be responsible for the following:

 

  1. Provide Administrative tasks of the unit, travel, mail, office supplies management, etc. and visa arrangements
  2. Coordinate the proper management of the unit's documents by ensuring their updating and maintenance via SharePoint and the Business Continuity IT tools
  3. Maintain the contact lists of the Business Continuity’s governance structure: ECC, OCC, EMT (headquarters and regions)
  4. Provide the necessary assistance to Bank employees as part of the business continuity program
  5. Contribute to data clean up in the Business Continuity tools and updating TCBC's internal and external web pages
  6. Maintain staff contacts in the emergency notification system
  7. Ensure the practical and logistic organization of meetings and seminars
  8. Assist the team to take notes within the Emergency Management Secretariat (EMT)
  9. Schedule meetings for the team based on weekly schedules and agendas.
  10. Perform any other duties assigned by the line supervisor.

 

COMPETENCIES (skills, experience and knowledge):

 

  1. Hold at least a bachelor's degree in business management, commerce, administration, or a related discipline, preferably supplemented by secretarial, administrative, and office management courses.
  2. At least 4 years of relevant and practical experience. Preference will be given to candidates with experience in international organizations.
  3. Be able to coordinate a busy and complex schedule and organize international travel for managers and staff, including processing per diems and claims.
  4. Have excellent interpersonal and customer service skills: interact professionally with internal and external stakeholders and respond quickly to requests with precision and courtesy.
  5. Have excellent organizational and planning skills, the ability to multitask, attention to detail, and the ability to work with a diverse workforce and varied stakeholders.
  6. Proactive and responsive: The candidate must demonstrate the ability to use available resources to resolve issues by taking the necessary actions and must demonstrate analytical skills and a deep understanding of the business to effectively interpret needs.
  7. Excellent communication skills: The candidate must express themselves confidently using clear, concise, and easily understood language, and demonstrate high-quality professional oral and written skills to project a positive image of the office.
  8. Excellent sense of initiative, confidentiality, enthusiasm, and teamwork.
  9. Proficiency in the Bank's standard software and applications (Word, Excel, Access, PowerPoint).
