THE BANK
Established in 1964, the African Development Bank Group (AfDB) is the premier pan-African development institution, promoting economic growth and social progress across the continent. There are 80 member states, including 54 in Africa (Regional Member Countries). The Bank's development agenda is to deliver financial and technical support for transformative projects that will significantly reduce poverty through inclusive and sustainable economic growth in Africa. In order to sharply focus the objectives of the Ten-Year Strategy (2024–2033) and ensure greater developmental impact, five major areas (High 5s), all of which will accelerate our delivery for Africa, have been identified for scaling up, namely; energy, agribusiness, industrialisation, regional integration and improving the quality of life for the people of Africa.
THE HIRING COMPLEX
The Agriculture, Human and Social Development Complex (AHVP) leads in implementing two of the five priority areas “High 5’s”, namely “Feed Africa” and “Improve the Quality of Life for Africans”. The Complex comprises five departments: (i) Agriculture and Agro-Industry Development; (ii) Agriculture Finance and Rural Development; (iii) Gender, Women and Civil Society; (iv) Water Development and Sanitation; and, (v) Human Capital, Youth and Skills Development. The complex objectives are (i) to develop, policy and strategy; (ii) provide deep sector expertise to the regions and (iii) develop new financing instruments
THE HIRING DEPARTMENT/DIVISION:
The Water Development and Sanitation Department (AHWS) is part of the Agriculture, Human and Social Development Complex. The Department is responsible for the coordination of the Bank’s water development and sanitation-related activities to enhance synergies and contribute to achievement of all High5s (Power and Light Africa, Feed Africa, Industrialize Africa, Integrate Africa, and Improve the Quality of Life). The AHWS leads the scaling-up of the Bank’s contribution to Africa’s efforts to attain water security and sanitation for socio-economic transformation. The Department is also responsible for the origination of Non-Sovereign Operations (NSOs). In so doing, the Department leads the scaling-up of the Bank’s contribution to Africa’s efforts to attain water security and sanitationfor sustainable socio-economic transformation. It also supports regions concerning complex projects. Through its Divisions: AHWS. l for water coordination and partnerships, and AHWS.2 for water security and sanitation in the East and Southern Africa, and Nigeria Country, AHWS.3 for Water Security and Sanitation in the West, Central and Northern Africa, and the African Water Facility (AWF), the AHWS supports regional hubs in the development and promotion of knowledge, approaches and tools for green and inclusive water security and for improved sanitation.
The AHWS2 Division works in tandem with AHWS1, AHWS. and the AWF to provide the Bank’s thought-leadership for water development and sanitation in Africa. The AHWS2 plays a lead role in supporting member countries to attain water security through the provision of technical expertise, generation and dissemination of pertinent sector knowledge and fostering strategic partnerships. In line with the mandate of the Department, the AHWS2 division provides guidance in the following thematic areas, among others: (i) integrated & transboundary water resources development and management for water security; (ii) water supply and sanitation for all and, (iii) water sector governance; as well as the cross-cutting areas including gender, climate change, private sector engagement and fragility
THE POSITION
The Unit/Team Assistant STS function within General Services provides administrative support for the smooth running of the unit/team, ensuring that the Head of Unit/ Team Leader is freed from any duties that might otherwise impede the effective execution of higher-level functions and responsibilities.
Each team has unique functions, but the work of the STS Unit/Team Assistant is uniform across all teams and aims at ensuring the smooth running of the structure that is managed by the respective Head of Unit/Team Leader.
Consequently, the work of the Unit/Team Assistant facilitates and contributes to the success of the Head of Unit/Team Leader in the efficient performance of his/her work as part of the Bank's strategy for the achievement of the High 5s.
KEY FUNCTIONS:
Under the general guidance and supervision of the Division Manager, the Team Assistant will perform the following tasks:
- Providing secretarial services, participating in the preparation of documents, reports, letters;
- Process correspondence and tasks following the Bank's accepted formats and check on probable typographical errors, presentation, completeness and procedural accuracy of all documents submitted to the Division Manager for authorisation, approval or signature;
- Managing, monitoring and archiving incoming and outgoing mails and documents;
- Schedule meetings for the Manager/Team, based on weekly schedules and agendas;
- Provide support and follow up on correspondence and routine administrative processes;
- Draft division meeting minutes;
- Organise travel for the Division Manager including tickets, hotel bookings, etc.;
- Monitor deadlines for completion of routine and assigned tasks;
- Review and prioritise important correspondence and tasks for performance;
- Performing any other duties assigned by the line supervisor;
COMPETENCIES (Qualifications, Experience and Skills)
- A minimum of a Bachelor's degree in Business Management, Commerce, Business Administration, Communications or a related discipline;
- Hold at least 4 years of relevant and practical experience in administrative and secretarial positions;
- Ability to perform multiple tasks, work with a multidisciplinary team;
- Ability to communicate effectively (both orally and in writing) in English with a good working knowledge of the other language;
- Proficiency in the use of standard Microsoft Office applications (Word, Excel, Access, PowerPoint, etc.);
- Knowledge of SAP is an asset.
